Planning a successful conference at the Lake of the Ozarks involves much more than reserving a ballroom and hiring an audio visual company.

The decisions made weeks before your attendees arrive often determine whether your event feels polished and professional or becomes a series of last-minute challenges.

At T/22, we've spent years producing corporate meetings, annual conferences, nonprofit fundraisers, leadership retreats, and association events throughout Missouri. We've learned that the best events don't happen by accident—they happen because the details are planned early.

Whether your conference is being held at a lakeside resort, hotel, or conference center, our experienced production team provides professional audio visual services, presentation management, event lighting, video production, staging, and live streaming designed to help your event run smoothly from the first rehearsal to the final presentation.

Let's Talk About Your Event

Planning a Conference at Lake of the Ozarks? Start Here.

Every venue has its own personality.

One ballroom may have soaring ceilings and abundant rigging points. Another may have low ceilings, structural pillars, limited power, or large windows that create challenges for projection during daylight hours. Even two ballrooms within the same resort can require completely different production plans.

One of the biggest mistakes we see is assuming the audio visual portion of the event can be figured out a few days before everyone arrives.

The earlier your production team is involved, the more opportunities there are to solve problems before they become expensive or stressful.

What Makes Conferences at Lake of the Ozarks Different?

The Lake of the Ozarks offers outstanding venues for conferences and corporate meetings, but resort properties often present different logistical challenges than traditional convention centers.

Guest rooms may be spread across multiple buildings. Ballrooms may have limited loading access. Elevators, docks, and service corridors are often shared with hotel operations, creating scheduling challenges during busy seasons.

Small details can have a surprisingly large impact on production.
We've arrived on-site to discover loading docks completely filled with banquet furniture and kitchen equipment, delaying load-in by hours. We've also encountered ballrooms that hadn't yet been flipped from another event, forcing production schedules to shift and increasing labor costs.

These situations aren't unusual—they're simply part of producing events at busy hotels and resorts.
Experience helps anticipate these challenges before they affect your conference schedule.

Venues We've Supported at Lake of the Ozarks

One advantage of working with an experienced production team is familiarity with the venues themselves. Every resort and conference facility has its own layout, loading procedures, ballroom configurations, and logistical considerations. Having worked in these spaces before allows us to plan more efficiently and anticipate challenges before they impact your event.

T/22 has provided professional audio visual production and event support at several of the Lake of the Ozarks' most popular conference destinations, including:

  • Camden on the Lake Resort

  • Lodge of the Four Seasons

  • Margaritaville Lake Resort

  • Old Kinderhook Resort, Golf Club & Spa

Whether we're returning to a venue we've supported before or producing an event at a new location, we begin every project with a thorough review of the space to ensure the production plan fits the room, the agenda, and your event goals.

Familiarity with a venue doesn't replace careful planning, but it does help us identify potential challenges sooner, communicate more effectively with venue staff, and make recommendations based on real-world experience.

The Planning Conversation We Wish Every Client Would Have

One of the first conversations we like to have isn't about projectors or microphones.

It's about your event.

We want to understand:

  • What does your agenda look like?

  • How many breakout rooms will there be?

  • Are presentations happening simultaneously?

  • Will there be panel discussions?

  • Are videos part of the program?

  • Is there a live stream or hybrid audience?

  • Will awards be presented?

  • Are presenters comfortable using handheld microphones or would they prefer headsets?

  • Is there rehearsal time built into the schedule?

These conversations allow us to recommend the right solutions instead of simply providing equipment. Ask us for one of our questionnaires and we’ll be happy to send you a copy. It might help you think about some things you had never considered.

Final Presentation Files Please don't send presentation files the night before your event. Receiving PowerPoint presentations well in advance allows us to organize speaker files, verify fonts, test embedded media, identify missing elements, and prepare backups before anyone steps onto the stage. Small problems discovered a week early are easy to solve. Small problems discovered five minutes before a keynote begins usually aren't. Video Playback Whenever possible, all presentation videos should be delivered directly to our production team before the event. We never rely on streaming video from the internet during a live presentation. Local playback provides greater reliability, eliminates buffering, and ensures your audience experiences smooth, uninterrupted video every time. Walk-Up Music Music is often one of the last things organizers think about, but it's one of the first things attendees hear. Providing walk-up music at least two weeks before the event allows us to properly prepare playback, verify audio quality, and coordinate cue points with your presenters and emcee.

Why Many Organizations Bring Their Own Production Team

Many of our clients host conferences at different venues throughout Missouri every year.

One conference might be held in Columbia. The next may take place in Branson, Kansas City, St. Louis, or the Lake of the Ozarks.

Rather than working with a different production company every time, they choose to bring the same trusted team with them to every event.

They already know how we communicate.

We already understand their expectations.

Their presenters know where confidence monitors will be located, how rehearsals are conducted, and who they'll be working with backstage.

That consistency allows planners to focus on their attendees instead of wondering how a new production team operates.

Behind the Scenes: What Your Audience Never Sees

When an event runs well, most attendees never realize how much planning happened beforehand.

They don't see wireless microphones being coordinated to avoid interference.

They don't notice technicians adjusting lighting as daylight changes.

They don't think about power distribution, backup equipment, presentation rehearsals, or cue sheets.

They simply experience a conference that feels organized and professional.

That's exactly how it should be.

What We Evaluate During Every Site Visit

Every ballroom and meeting room is different.

Before recommending equipment, we evaluate the space itself.

Our checklist includes:

  • Ambient light throughout the day

  • Ceiling height

  • Stage location

  • Audience sightlines

  • Structural pillars

  • Available power

  • Projection distance

  • Rigging opportunities

  • Wireless microphone coverage

  • Loading dock access

  • Elevator access

  • Backstage space

These details help us design production systems that work with your venue rather than against it.
